Need
a) Attendance Management
Previously, NBD employees were limited to a very basic attendance feature, a straightforward “Mark Present” option in their attendance system. While functional, it lacked sufficient accountability and visibility. There was no means to ascertain when an employee commenced or concluded their workday, making time management and discipline problematic.
Identifying this shortfall, NBD sought a more robust and transparent attendance solution. A solution that would accurately reflect actual working hours, not merely presence.
b) Maintaining leave balances
Managing leave may seem routine, but for NBD, it was essential for ensuring employee satisfaction and operational fluidity. One of their primary needs was to introduce flexibility and precision into their human resource management system in banking.
They required a software capability that would enable them to revoke previously sanctioned leave and restore the remaining days back into the employee’s leave balance. Furthermore, they sought a leave management solution that would conserve both time and ensure precision, particularly in dynamic work settings where plans frequently change.
NBD additionally sought a clear and structured leave approval workflow that would correspond with their organizational hierarchy and introduce transparency into the process.
It was not solely about efficiency. Instead, it was about granting the correct individuals visibility at the appropriate moment. Thus, ensuring leaves were properly tracked and granted responsibly.
c) HRIS
The National Bank of Dominica was not merely searching for superficial remedies. They required a comprehensive enhancement in the management of employee data within their system. From retaining confidential documents such as government IDs, appointment letters, dependents, and beneficiary information to managing sensitive records securely. They desired everything to be well-organized, accessible, and compliant. But that was not all.
They also needed improved control over their contract workforce. With numerous employees on fixed-term contracts, HR required timely insights regarding contract expiration timelines to prevent last-minute renewals or unforeseen gaps. It was all about proactive measures, not reactive responses.
Then, there arose the issue of reporting relationships within workforce management. As the organization expanded, so did the complexity of employee reporting relationships within the system. For existing employees, reporting relationship records had to be assessed and refreshed. Concurrently, new hires needed new profiles accurately aligned with their relationships to other employees in the organization.
They also sought to restore centralized access to historical employee records, streamline document verification, and facilitate accurate data entry for all new employee information. This was vital to avert duplicate or inconsistent data entries.
It wasn’t just a technical cleanup. It was a complete overhaul of their HRMS in banking and the employee data ecosystem. They aimed to ensure that every piece of information was organized, secure, and primed to support smarter HR decisions.
Solution
HRIS That Delivers
After investigating another HR solution for a year, NBD swiftly recognized that what they genuinely needed was a solid and trustworthy SMB bank HR solution. One that could evolve with them and not impede their progress. The previous system simply could not keep pace with their changing needs.
That’s when they made a strategic choice to return to Empxtrack, the solution that had once simplified their operations effortlessly. However, they weren’t merely returning; they wanted to ensure no data was lost during the transition.
During the changeover, NBD requested assistance with uploading all offline leave transactions from the gap year. This legacy data was gathered and uploaded prior to their contract renewal. The objective? Complete data continuity and operational precision in human resource management in banking.
Empxtrack aided the client in uploading offline leave transactions and other documents. Additionally, we ensured records from the prior system were efficiently reintegrated into the platform. This included recovery of profile pictures, old contracts, and previously stored digital IDs.
The client also required assistance with the management of contract employees. Empxtrack automated a contract expiry notification on the first day of each month for all contract-based employees. This email lands directly in the HR’s inbox, acting as a timely reminder that it’s decision-making time. It is also at the discretion of HR whether to renew
the agreement or not.

Empxtrack rose to the challenge, facilitating a smooth reimplementation process that felt less like starting anew and more like resuming right where they left off, only improved and smarter. This comeback wasn’t merely a technical transition. Instead, it was a reinvigorated collaboration built on trust, experience, and a mutual vision for digital HR excellence.
Improved Attendance Management
Moreover, Empxtrack significantly upgraded NBD’s attendance management experience with a transformative enhancement.
Our software empowered employees by configuring the system to enable them to log both their starting and ending work timings directly within the portal. Now, every workday is thoroughly recorded. This efficient employee tracking system has delivered numerous advantages to NBD, such as:
➔ Precise working hour calculations for payroll and productivity assessment
➔ Enhanced workforce insights for managers and HR regarding team attendance trends
➔ Elevated time accountability for staff

This enhancement not only increased operational effectiveness but also infused a degree of professionalism and order into their daily activities.
Streamlined Leave Management
Empxtrack played a crucial role in transforming NBD’s leave management process to align with their evolving organizational requirements. Previously, leaves were automatically allocated to employees with limited customization.
However, as NBD expanded its HR policies, there arose a necessity to integrate multiple new leave types, such as Christmas Shopping Leave, Vacation Leave, Mandatory Leave, and others. Empxtrack provides flexibility in configuring various types of leave, allowing NBD to establish multiple leave categories tailored to their specific needs.

Our software seamlessly integrated these new leave categories that provided NBD employees with greater clarity and control over their time off.
To further improve efficiency and compliance, a multi-tiered leave approval workflow was also implemented. The established workflow follows a clear sequence:
Leave Creator → Reviewer → Manager → HR
Thus, ensuring appropriate oversight at every phase.

These customized solutions have not only enhanced leave transparency but also empowered HR and employees with a smoother, more accountable leave experience.
